About The Role

The Resource Coordinator plays a vital, entry-level role at the heart of how our agency operates. This is the starting point of a career journey into Agency Operations, Project Management, or Client Services, offering a rare helicopter view across our people, projects, and clients.

Sitting at the intersection of people and data, this role helps ensure the right people are on the right work at the right time. By maintaining clear, accurate resourcing and forecasting information, the Resource Coordinator directly supports smooth delivery, healthy team workloads, and confident revenue forecasting — all of which underpin client satisfaction and agency performance.

This role is both an art and a science. You’ll work with schedules, systems, and numbers, but also with people, judgement, and nuance. In doing so, you’ll build a deep, practical understanding of what makes agencies run well. For high performers, this role provides a clear pathway into Client Services or Project Management after approximately 18 months, where you’ll be well prepared to step into the next phase of agency life.

Degrees and specific experience are not essential. We care more about your work ethic, curiosity, attention to detail, and motivation to grow. You’ll enjoy working with data and processes, take pride in using initiative, and feel satisfied knowing your work quietly enables others to do their best work.

Responsibilities

1. Resource Allocation and Scheduling

  • Maintain and Manage Schedules: Own the upkeep and accuracy of the Resource Allocation Schedule (RAS) or equivalent system, ensuring all project assignments, utilisation percentages, and planned time-off/non-billable activities (e.g., training) are recorded promptly and accurately

  • Fulfill Resource Requests: Process and fulfil incoming project resource requests based on availability, required skills, and organisational priority, escalating critical conflicts to the Digital Production Manager.

  • Workload Balancing: Assist in monitoring team members' utilisation rates to prevent both over-allocation (burnout) and under-utilisation (inefficiency), suggesting minor reassignments to balance workloads.

2. Data Management and Reporting

  • Ensure the integrity of resource data, including updating employee profiles with current skills, certifications, and expected availability.

  • Collaborate with Project Managers by assisting with the tracking and submission of billable and non-billable hours, helping ensure time is recorded against the correct projects.

3. Administrative Support

  • Maintain and regularly update the Resource Allocation Schedule (RAS)to track onboarding and offboarding status and ensure alignment across teams

  • Ensure all resource management practices adhere to established organisational policies and compliance standards.

  • Coordinate administrative details related to resource deployment.

  • Carry out additional responsibilities as required.

4. Personal Development

  • Continuously build your skills, confidence, and understanding of agency operations, resourcing, and delivery, staying curious and proactive in developing your knowledge and capability over time.

About You

Professional knowledge and experience

You may be fresh out of education, early in your career, or already working in a support or coordination role within a fast-paced environment such as an agency, office or operations team. Prior experience in resourcing or project delivery is not required.

What matters most to us is your attitude, potential, and motivation to learn. We are ready to teach you everything you need to know about agency resourcing, systems, and ways of working. In return, you’ll bring curiosity, care, and a strong sense of responsibility for doing things well.

Good performance in the role looks like:

  • Strong data integrity: Keeping systems, schedules, and records accurate, up to date, and reliable

  • Meeting SLAs and commitments: Responding to requests in a timely way and following through on what you say you’ll do

  • Operational consistency: Creating calm, order, and predictability in a busy environment

  • Positive internal feedback: Being seen as dependable, helpful, and easy to work with by project teams and leaders

  • Growing confidence and judgement: Learning when to act independently and when to escalate issues appropriately

Over time, you’ll develop a strong understanding of how agency teams work together and how operational decisions affect people, clients, and commercial performance.

Technical skills

  • Technical Proficiency: Advanced proficiency in Microsoft Excel and strong working knowledge of a Resource Management System (RMS), Project Management tool (e.g., Jira, Trello, Asana), or other scheduling software.

Behaviours

Ownership and Reliability:
You take pride in doing things properly, follow tasks through to completion, and can be trusted to manage your responsibilities with care and consistency.

Curiosity and Willingness to Learn:
You ask questions, seek to understand the “why” behind processes, and are open to feedback to improve and grow.

Attention to Detail:
You naturally notice gaps, inconsistencies, or errors in data and take action to correct them, understanding that small details have a big impact.

Calm Under Pressure:
You can stay focused and organised in a busy environment, balancing multiple requests without becoming overwhelmed.

Clear and Considerate Communication:
You communicate clearly, respectfully, and professionally with colleagues at all levels, knowing when to share information, ask for clarification, or flag potential issues.

Collaborative Mindset:
You enjoy working as part of a team and understand that your role supports others to succeed — taking satisfaction in being a reliable, behind-the-scenes enabler.
