About The Role

As Office Manager, you’ll be a creative thinker and organised individual who’s looking to join a passionate group of people who want to create real change in the world. The role will be flexible, but the successful candidate will be based from the office. We welcome applications from individuals with office management, administration or secretarial experience. Adaptable and organised individuals who are confident and responsive to change will be welcomed by a company who values contribution from the team, diversity of thought and integrity.
 
Responsibilities
 
  • First point of contact in our Chesterfield Hub, welcoming guests and coordinating with building operations providing a welcoming and friendly environment for all hub users.
  • Responsible for all office day-to-day operations, making sure there are adequate stationery supplies, materials, snacks and anything else the team might need 
  • Understand the Health and Safety requirements, ensure they are fulfilled, including being the main contact for accident reporting, fire warden and first aider (including arranging cover)
  • Working alongside HR teams to welcome new starters, organising technology and new starter packs
  • Working alongside comms teams to support our Slack community, adding new starters and guests, channel management and being a point of contact for questions and requests
  • Working alongside operations and finance teams to support the wider division with admin tasks and social events, including managing the allotted budget
  • Plan and launch community initiatives to create connections between hub members and the wider TPX community, including Town halls and central events
  • Managing company correspondence including, post, emails and phone calls
  • Being the point of contact with Facilities Management about building snags or problems
  • Maintaining the office and keeping it tidy
  • Organising building passes and booking meeting rooms
  • Making sure the office facilities are in good working order, including printers, kitchen appliances and wifi.
  • Managing the loan of spare and returned equipment.
  • Coordinating with the Operations team to manage the Operations mailbox and time out of the office
  • Any other ad hoc requests as required by the teams

Experience

  • Excellent attention to detail and organisational skills
  • Ability to operate in a fast-paced organisation, managing competing projects, priorities and internal stakeholders simultaneously
  • Strong team player, able to share and teach your skills to others and develop good relationships
  • Problem-solving skills 
  • Shows initiative with ambition to develop
